What's new on SARA

New form: Corporate Analytics User Access 

This new form enables staff to request access to various corporate analytics tools and dashboards, for example, relating to finance, workforce, procurement and other areas.

 

Previously, these requests were received via email or through a paper-based form. Now, these requests can be submitted through SARA, capturing all required details and automating the approval and fulfilment process. This SARA form will improve the user experience and reduce the time for the fulfilment team to complete the requests.

Planned maintenance - upgrade to Citrix Receiver Client

At WSLHD, FASS & Pathology, various clinical and corporate applications incl. eMR, eRIC and iPM run on Citrix.

Our current Citrix Receiver version is End of Life (EOL), necessitating an upgrade to the Citrix client on all PCs, laptops and WOWs across the organisation. The upgrade will ensure continued functionality and support for the application.

The upgrade will be rolled out across the organisations in a phased approach between Monday, 14 September 2020 and Monday, 7 December 2020, according to the schedule below. Further communications will be sent to each department/organisation prior to the upgrade being rolled out to their area.

EPM (Enterprise Performance Management) maintenance

What is impacted?
Enterprise Performance Management (EPM) that includes Cash Forecasting Tool, Financial Task Manager (FTM) and Auto Reconciliation (AutoRec) Tool

Who is impacted?
All users of EPM in all LHD’s / Agencies and MoH.
Note: EPM is a separate system from StaffLink and standard StaffLink functionality is NOT impacted by this change.

How does it affect you?
During the maintenance performed by our vendor, EPM will not be available to end users. Following the upgrade some EPM screens may look different.

Duration of disruption of service
Maintenance Start: Friday 20 November, 10:00pm
Maintenance Finish: Monday 23 November, 8:00am

Details of outage
EPM (Enterprise Performance Management) is a cloud-based system that is managed by our vendor and contains the Cash Forecasting Tool, Financial Task Manager (FTM) and Auto Reconciliation (AutoRec) Tool. This change covers one of the monthly vendor maintenance windows to EPM and follow up manual post-upgrade personalisation work by StaffLink Financials team. As EPM is a separate system from StaffLink, Standard StaffLink functionality is NOT impacted.

eRIC Upgrade and Planned Outage

What is impacted?
eRIC (electronic Record for Intensive Care) application.

Who is impacted?
Intensive Care Unit (ICU) at Blacktown Hospital, Westmead Hospital and users of the application.

What is the impact to end users?
eRIC application will be unavailable to the end users. Records can be accessed via the Emergency Data Access computer and paper based systems.

Duration of outage:
Start: Tuesday, 25 November, at 1:30pm
End: Tuesday, 25 November at 5:30pm

Further details of the outage:
eRIC (electronic Record for Intensive Care) application is being upgraded to V2R1+AA. The upgrade consists of bugfixes and enhancements.

Impact of not implementing the change: the bugfixes and enhancements will not be available to the users.

IT Advice: Addition of New pool members to Cerner LDAP pool

What is impacted?
Cerner EMR LDAP pool

Who is impacted?
EMR domains for following LHD’s and speciality network:
SCHN, SNSWLHD, MLHD, WNSWLHD, FWLHD, MNCLHD, NNSWLHD, NSCLHD, CCLHD, eHealth, SESLHD, ISLHD, SWSLHD, SLHD, WSLHD, NBMLHD

What is the impact to end users?
No impact to LHD EMR Service. The change is to add additional AD servers within EMR LDAP Pool.

Duration of maintenance work:
Proposed start date: 19 November, at 8:00pm
Proposed end date: 19-11-2020 at 9:30pm

Further details of the maintenance work:
No impact to LHD servers since those AD servers only used for authentication only. There will be no degradation in performance. The only noticeable outcome will be increased performance as there will be additional servers to service request, both in normal operations and during maintenance windows where currently the pool is stretched.

Taleo (part of Recruitment & OnBoarding - ROB) maintenance

What is impacted?
ROB Recruiting Centre and Career Sections for Candidate Applications (Taleo product).

Who is impacted?
All users of ROB – Recruiting Centre and Candidate Applications (Taleo) in all LHD’s and Health Agencies.

How does it affect you?
During the maintenance performed by our vendor, ROB Recruiting Centre and Career Sections (Applications) will not be available to end users.

Duration of disruption of service
Start: Thursday, 19 November 11:00pm
Finish: Friday, 20 November 3:00am

Details of outage
Taleo is a cloud-based system that is managed by the vendor, Oracle and is used as part of our Recruitment and Onboarding (ROB) system. Our vendor will perform an update to Taleo during the maintenance period.

Managing Deterioration – Between the Flags (BTF) v4.1

What is being implemented?
This update outlines the changes to both the BTF Vital Signs Form and MPage after the release of BTF Version 4.1 by NSW Health and the Clinical Excellence Commission (CEC).
It is exciting to see the many enhancements to the electronic version of BTF. The updated functionality results in greater patient safety by optimising the detection of the deteriorating patient and helping clinicians take appropriate action when the patient falls outside the flags

Who is impacted?
All eMR users across WSLHD and NBMLHD.

What is the impact to end users?
While there is no eMR outage, the current BTF page will stop graphing at 0:00am on 24 November and will be unavailable until 6:00am.
Downtime procedure during this outage will be to:
• Follow usual downtime procedures – paper observations charts are to be used during this time.
• Existing electronic vital sign results can be viewed via the Flowsheet or Summary MPages.
• Each department needs to ensure adequate supply of Paper SAGO and SPOC for the morning.
